What this policy covers
This policy explains what Syncflow collects when you visit our website or use the product, why we collect it, and what you can do about it. It covers syncflow.com and the Syncflow routing and scheduling service.
Information you give us
When you create an account we ask for your name, work email, company, and role. If you move to a paid plan, our payment provider handles billing details — full card numbers never reach our servers.
Information we collect automatically
Each visit records basic technical data: IP address, browser and device type, referring page, and the pages you open. We use one first-party analytics cookie for this and nothing more.
Information from your connected tools
When you connect a CRM or calendar, Syncflow reads only what routing needs: team structure, territory rules, rep availability, and meeting outcomes. We do not read message bodies or attachments.
How we use your information
To run the service, route leads, send booking confirmations and reminders, answer support requests, bill your subscription, and improve reliability. We do not sell personal data and we do not use customer data to train models.
Who we share it with
Only the processors we need to operate: cloud hosting, email delivery, payment processing, and error monitoring. Each is bound by a data processing agreement. We also disclose data when the law requires it.
How long we keep it
Account data lives as long as your account is active. After you close it we delete or anonymise your data within 90 days, except records we are required to keep for tax and accounting.
Security
Data is encrypted in transit and at rest. Access is limited to staff who need it, logged, and reviewed every quarter. If a breach ever affects your data, we notify you within 72 hours.
Your rights
You can ask for a copy of your data, correct it, export it, or have it deleted. Write to the address at the bottom of this page and we respond within 30 days.
International transfers
Our servers are located in the European Union and the United States. Transfers outside the EEA rely on standard contractual clauses.
Changes to this policy
If we change how we handle personal data we update this page and email account owners at least 14 days before the change takes effect.
